Coastal events in Da Nang: seven weather risks and the contingency plans to prepare in advance
A sea breeze that turns in the afternoon, sand underfoot, a 20-minute downpour — seven weather risks typical of coastal events in central Vietnam, and the contingency plans to settle before show day.
An outdoor event by the sea sells something no indoor stage can reproduce: open water, sunset, open air. The price is the weather — the one element of the programme nobody controls. This article gathers the seven risks we meet most often along the coast and the riverfronts of central Vietnam, each with the contingency plan that answers it. They are ordered by when you have to settle them during preparation, not by how alarming they sound.
1. The sea breeze turns direction and builds through the afternoon
On the coast, land heats faster than water during the day. That drives a breeze in off the sea, usually strongest from early afternoon until just before sunset; after dark it reverses and blows from the land back out to sea. The practical consequence for a staging crew: the wind direction recorded on a morning site survey is not the wind direction at the afternoon final rehearsal, and it is not the wind direction during the evening show either.
What to do: measure wind direction and speed in the same time slot as the show, at least once before build day. The backdrop and the LED screen catch more wind than anything else on site — both behave like sails. On a large backdrop, the safe route is to cut wind-relief openings or switch to mesh fabric instead of solid PVC. On LED, wind load has to be designed into the frame and the ballast, not only the static weight of the modules.
Two numbers belong in writing: the wind threshold that stops the build and the wind threshold at which the structure is lowered. Both come from the contractor erecting the structure, based on the truss as actually designed, never from a judgement call made on the day — and both belong in the site survey report, together with the name of the person authorised to order a stop.
2. Sand does not hold a stage leg the way concrete does
Sand is loose and damp. It carries load poorly and it settles unevenly over the course of a day. A stage standing true at 3pm can be off-level by 8pm, once hundreds of people have walked around it, or once the tide has wetted the layer underneath.
The standard answer is to spread the contact area rather than dig deeper: a load-spreading plate under every truss leg, the ground levelled and rolled before anything goes up, levels re-checked after the heavy equipment is hung and once more before the final rehearsal. Guest walkways and forklift routes need their own ground load spreading. This is the line item most often left out of a budget and then billed as a variation on site.
3. Short downpours break the script, not the stage
In central Vietnam a shower of 15–20 minutes brings nothing down, but it is long enough to erase the climax of a programme if it lands in that slot. This is a script risk, not a structural one.
The fix is to write two branches in advance. Branch A is the full script. Branch B is the short version, keeping the three items the programme cannot lose — the brand message, the climax performance, and the ceremonial segment if there is one — usually 12–18 minutes shorter, with the running order rearranged so the outdoor numbers fall inside the good weather. Branch B has to be rehearsed at least once with the host and the technical crew. A contingency script nobody has ever run is a script nobody can follow at the moment it is needed.
In parallel: every piece of powered kit and every control laptop needs a cover that goes on fast, with power cable runs in trays and lifted clear of the ground wherever water can pool.
4. Salt air, sand and humidity destroy equipment
Sea air corrodes metal contacts, and fine sand works its way into cooling fans. A unit that has run indoors without complaint for a year can fail on its first night by the water. That is why hired-in items are tested on site before sign-off, rather than trusted on the strength of a spec sheet.
What to do: specify an ingress protection rating suitable for any item that has to sit outdoors, sheet the back of the LED screen and the power distribution cabinets, and carry a spare for every point that is not allowed to fail — the mixer, the playback machine, the wireless receiver for the main microphone. Wireless microphones carry one more risk: busy tourist stretches of coast usually run more radio-frequency interference than expected, so scan for clear frequencies on site, on the day of the show itself.
5. Tide and water level for anything staged on the water
An act on the water — a water-jet display, a floating stage, boats — depends on the level and the current at show time, not on the level you saw during the site survey. Tide tables are public data, which makes this a predictable risk: put the tide times into the script spreadsheet from the start, instead of finding them out after the running times have been agreed with the client.
Beyond the level itself, confirm the minimum depth for the rider, the safety distance to the audience area, the navigation traffic on that stretch of water, and a water rescue crew present for the whole of the act. 6. Heat affects the guests before it affects the programme
People routinely underestimate how punishing a daytime event on the coast can be: an audience area with no shade, metal chairs that soak up heat, drinking water going faster than forecast. Guests leave their seats early not because the programme is weak but because they cannot sit in the sun any longer — and that ruins the shot of a full house in the video coverage.
The plan: shaded areas and water points sized to the real number of guests, medical staff on site for large daytime events, and the long ceremonial segments pushed back until the sun has eased.
7. Licences and decision points — the administrative risk that travels with the weather
The two are tied together. When the weather turns, the contingency plan usually means changing the layout, the sound levels or the effects — and those may sit inside what was registered with the authorities and with the venue owner. Fireworks and pyrotechnics in particular fall under Decree 137/2020/ND-CP on the management and use of fireworks: they go ahead only through a licensed operator, and weather conditions are one of the grounds for calling them off.
So a contingency plan needs a decision point attached to it — a specific time before the show when the call is made between branch A and branch B, who makes that call, and who has to be told. Without that point, the whole argument happens at exactly the moment there is no time left for it.
Quick checklist before show day
- Wind speed and direction measured on site in the show’s own time slot, at least once.
- Wind thresholds for stopping the build and for lowering the structure, in writing, with the decision-maker named.
- Ground rolled level, load-spreading plates under the truss legs, ground load spreading on the walkways.
- Branch B script written and rehearsed, shorter than branch A, every must-keep item intact.
- Covers ready for outdoor equipment; power cabinets and cable runs lifted clear of the ground.
- Tide times to hand for anything on the water; water rescue crew on duty for the whole act.
- Shade, water points and medical staff in place for daytime events.
- Contingency plan checked against the scope of the licence and the venue’s own rules.
- A/B decision point fixed, with the list of people to be notified.
